GENERAL CONDITIONS
1. Definitions
The following terms shall have the meanings indicated below:
Contract: these General Conditions, as integrated by the Letter of Confirmation;
Event: the event to which the Participant is registered;
Price: the total price of the Services;
Organising Secretariat: “Lena Corporation SAM” – Lena Group;
Services: the activities that the Organising Secretariat undertakes to perform in favour of the Participant;
Participant: the person entering into the Contract with the Organising Secretariat;
Letter of Confirmation: the letter sent to the Participant by the Organising Secretariat, containing, inter alia, the Services.
2. Extension and Limits of the Services
The Organising Secretariat undertakes to perform only the activities specifically mentioned in the Letter of Confirmation. It shall not perform any further and/or different activities other than those expressly indicated therein.
3. Forfeiture of Indemnity Right – Limitation of Liability
Any defect, error and/or dissimilarity (“Defects”) of one or more Services, compared to what is specified in the Letter of Confirmation, must be communicated in writing to the Organising Secretariat within 30 days from completion of the relevant service(s).
Defects, even if recognized by the Organising Secretariat, may only result in a reduction of the value of the relevant service(s), taking into account their severity.
The liability of the Organising Secretariat is expressly excluded for any direct or indirect, foreseeable or unforeseeable, typical or non-typical or consequential damages or loss of profits, whether derived from torts, breaches of contract, culpa in contrahendo, positive breach of duty, or any other legal theory.
4. Currency – Invoicing and Default Interests
All prices in the Letter of Confirmation are in Euro.
In case of changes in GST or other taxes, the Organising Secretariat reserves the right to readjust the prices.
Terms and conditions of payment are stated in the Letter of Confirmation and are not subject to reduction or discount.
5. Responsibility and Force Majeure
The Organising Secretariat is not responsible for delays or impossibility of performing the Services due to circumstances beyond its control.
Events considered Force Majeure include but are not limited to: strikes, lock-outs, riots, wars, fires, natural disasters, epidemics/pandemics, breakdowns, building collapses, governmental orders, requisitions, lack of materials or energy, and transport blockages.
Effects of Force Majeure:
The Organising Secretariat shall notify the Participant within a reasonable period;
It shall be relieved of its contractual obligations and liability during the impediment;
If temporary, obligations resume once the impediment ceases.
Termination rights:
The Organising Secretariat may terminate the Contract if the impediment:
Exceeds 60 days (if occurring ≥180 days before the Event);
Exceeds 5 working days (if occurring ≥20 days before the Event);
Lasts at least 1 working day (if occurring within 5 days of or during the Event).
Reimbursements:
If the Event is cancelled due to Force Majeure, sums paid shall be reimbursed minus:
Documented supplier penalties (e.g., hotels, airlines);
A 10% fee calculated on (1).
Refunds may be postponed until suppliers reimburse the Organising Secretariat.
If the Event is postponed due to Force Majeure:
All sums already paid remain as advance payments;
The Organising Secretariat shall make its best efforts to:
Postpone the Services in line with the new Event dates;
Minimize penalties applied by suppliers (though all such penalties remain chargeable to the Participant).
6. Right of Privacy

7. Applicable Law – Place of Jurisdiction
This Contract is governed by the laws of the Principality of Monaco.
Any disputes shall be settled by the Principality of Monaco Court System.
8. Miscellaneous
No variation or waiver of any provision shall constitute a general variation unless expressly agreed.
If any term is found illegal or unenforceable, it shall be deemed omitted without affecting the remaining terms.
Provisions intended to survive expiry or termination shall remain in force.
9. Image Rights and License
The Participant agrees to being filmed and photographed during the Event.
The Participant grants the Organising Secretariat and authorised third parties all necessary licences to use his/her image, name, likeness, voice and contributions (including presentations, documents, texts, audiovisual materials, feedback, testimonials, etc.).
These rights include worldwide use, reproduction, editing, broadcasting, publishing, and sublicensing in any media, without restriction of time or territory.
No direct personal commercial endorsement will be made without the Participant’s consent.
Licences are granted free of charge.
10. Creation and Use of Content
The Participant may take photos/videos and refer to the Event on personal digital platforms, provided that:
It is solely for promoting the Event;
It is not used for promotional or commercial purposes;
It respects third-party rights, applicable laws, and does not harm the Organising Secretariat or others.
The Participant authorises the Organising Secretariat and authorised third parties to repost/share such content.
The Participant warrants that all content created is owned by him/her, free of encumbrances, and does not infringe third-party rights.
